Legal Office Administrative Assistant (Frederick)
Offit Kurman, a growing full-service law firm, is currently seeking a Receptionist/Office Administrative Assistant for its Frederick, MD office. The Office Administrative Assistant will play an integral role in the day-to-day operations providing front desk office support as well as assistance to legal support staff through the management of document workflow, electronic files, general administrative back-up, and other duties as assigned.
Specific Responsibilities include:
- Providing a welcoming environment for clients and visitors to the Firm.
- Office and attorney phone support, including taking messages and assisting clients however possible.
- Opening and sorting mail as well as ordering office supplies, monitoring inventory, and receiving and signing for deliveries.
- Filing, sorting, and indexing documents, both physically and electronically.
- Schedule conference rooms, attend signing meetings as a witness, and reserve guest offices for visiting staff.
- Light document production, proofreading, and/or editing.
- Maintain diary of court dates for attorneys and clients.
- Assist with mass mailing and large print jobs for remote attorneys and staff.
- Create trial binders.
- Assist with large document production – uploading Court transcripts, CDs, Bates numbering etc.
Qualifications:
- Ability to multi-task shifting priorities and turn work around, with minimal errors, in an efficient manner.
- Excellent organizational and analytical skills.
- Attention to detail.
- Strong communication skills, in both written and verbal form.
- Professional demeanor and proactive work ethic.
- Proficiency in Microsoft Office 2017 or newer (Outlook, Word, Excel and PowerPoint), Internet research skills, document management systems.
